1. EXHIBIT BOOTH
Please refer to your confirmation letter for your contracted booth size and booth space assignment. If you are unable to locate your confirmation letter, please contact us at exhibits@transducers2015.org.

The following is included in the booth space:
  • 8' high back drape in show colors
  • 3' high side drape in show colors
  • 1 - 6' skirted table
  • 2 - chairs
  • 1 - wastebasket with liner
  • 1 - 12" x 18" identification sign
  • 1 - electric outlet is included with your booth, however, you must complete and submit form from Exhibit Kit.
  • Carpet
If you would like to order additional furniture etc., please refer to Exhibitor Kit.

2. EXHIBIT HOURS
Monday, June 227:00 AM - 6:00 PM
Tuesday, June 237:30 AM - 6:00 PM
Wednesday, June 248:00 AM - 2:15 PM

The Conference is requesting that all booths be staffed and ready for viewing on Monday, June 21 for the initial opening of the exhibit hall and early morning coffee service at 7:00 AM. The Conference will be providing coffee service each morning in the exhibit hall prior to the general session, but staffing is at your prerogative on Tuesday and Wednesday prior to the first break at 10:00 AM. The Conference will not be providing lunch, however, the exhibit hall will be open during the lunch breaks for Conference attendees. The Executive Committee reserves the right to amend these times if necessary and will give you notice as soon as any times change.

As the exhibit hall is co-mingled with the poster sessions, you CAN NOT dismantle any part of your booth or exhibit prior to 2:15 pm on Wednesday. You will need to vacate and remove all exhibition materials and all other property no later than 2:00 pm on Thursday. Any property remaining after 2:00 pm may be removed or otherwise disposed of by the Conference Organizer at the exhibitor's expense unless arrangements have been previously made.

3. REGISTRATION
As stated in your confirmation, your exhibit booth comes with one (1) complimentary full Conference registration and one (1) complimentary exhibitor badge registration. Register your staff by using one of the following options:
  • Full Conference Registration
    On-line Registration . Under Registration Type, select Benefactor and enter your code. Refer to confirmation letter for code and instructions.

  • Exhibitor Badge Registration
    Complete the Exhibitor Registration Form (one per person) and return by Friday, May 22nd to receive the advanced rate.
4. SLEEPING ROOMS
It is very important that you are able to get to Anchorage and June is a very popular tourist month for Alaska, so we ask that you make your flight arrangements and hotel reservations as soon as possible. The discounted group hotel options are listed on the Hotel page. Again, we can not stress the importance that you make your arrangements as soon as possible to ensure that you get the travel and accommodations of your preferred choice.

6. DELIVERY AND STORAGE OF GOODS
All shipping and storage should be arranged through Art Services North. See page 4 of Exhibitor Kit for details.

The Dena'ina Convention Center does NOT have a shipping and receiving department and will NOT accept any material. Any material that is sent directly the the Convention Center will be REFUSED.

7. BOOTH CLEANING
Booth cleaning is available in the Exhibitor Kit on page 5.

8. FIRE PRECAUTIONS All materials used in construction work and displays must be fireproofed, or made of non flammable materials and the exhibitor must comply with any reasonable instruction given by the Conference Management or the Dena'ina Convention Center to avoid the risk of the fire.

9. DAMAGE TO THE VENUE
No Nails, screws or other fixtures may be driven into any part of the Dena'ina Convention Center building. The exhibitor will be responsible for any such damage and shall be liable for the damage at his/her own expense.

10. SECURITY
The Transducers 2015 Conference Committee and the Dena'ina Convention Center Management cannot guarantee exhibitors against loss or damage of any kind. Although the exhibit hall is open to Conference attendees only, you will not want to leave any thing of value in your booth space. Standard security will be provided during non-exhibiting hours, but please be aware that you are responsible for securing your booth and all its contents during both exhibiting and non-exhibiting hours. The Transducers 2015 Conference and the Dena'ina Convention Center assume no liability whatever for damages resulting from any act of omission or commission in connection with this Conference.

11. LIABILITY
Space is leased with the understanding that the Transducers 2015 Conference will act for the exhibitor only in the capacity of agent and not as principal. The Transducers 2015 Conference and the Dena'ina Convention Center assume no liability whatever for damages resulting from any act of omission or commission in connection with said agency.

12. INSURANCE
All Exhibitors must arrange for coverage with an Insurance Company of their choice to insure against theft, fire, water damage and/or leakage, breakage, destruction and civil liability against third parties. The Transducers 2015 Conference and the Dena'ina Convention Center are not liable for any damage or bodily injury whatsoever, whether suffered by the Exhibitor or caused by the same to any property and/or people.

13. SAFETY
Liability in respect of bodily injury and/or property damage caused to third parties in a stand lies entirely with the Exhibitor concerned. The Transducers 2015 Conference and the Dena'ina Convention Center reserves the right to forbid the setting up of and/or dismantle a stand which is deemed unsuitable or dangerous.

In the exhibition area it is forbidden to:
  • use equipment emitting harmful radiation unless it has been correctly protected;
  • employ artificially or naturally radioactive materials other than those allowed under the laws in force;
  • operate machinery which is not in perfect working order;
  • perform demonstrations which could result in fire hazards or other forms of danger;
  • remain in the exhibition area after closing time.
